The main tasks and responsibilities include 

  • Welcoming visitors, directing them to the reserved room and making the announcement
  • Receiving phone calls and pass on messages and notes
  • Keeping the meeting rooms and reception organized
  • Alerting messengers about the need to collect correspondence
  • Keeping the file and organization of documentation sent via DHL
  • Issuing AWB for sending documents via DHL
  • Filling the Excel spreadsheet with the record of documents sent via courier
  • Tracking documents sent via courier and fill the spreadsheet with delivery information
  • Contacting DHL in case of notifications of delays and abnormalities in delivery
  • Controlling the stock of DHL and Correios material for sending documents and samples
  • Scheduling meeting rooms and massage therapy sessions
  • Monthly closing of DHL invoices with archiving of the AWBs (Air Waybills) sent and division by cost center
  • Requesting authorizations for access to the building
  • Controlling the stock of stationery
  • Purchasing stationery supplies
  • Monitoring, guiding and supervising service providers in repairs and works that occasionally occur outside of business hours
  • Providing support to the administrative assistant during their absence for vacation
  • Communication with the building's management regarding problems/requests

  • is able to set priorities correctly and can stay professional in challenging situations

Qualifications and requirements

  • Previous experience in reception or front desk roles
  • Intermediate proficiency in English (spoken and written), with effective communication skills
  • Service orientation and a collaborative, team-focused approach
  • Discreet and credible personality
  • Proficient in Microsoft Office applications
  • Eligible to work in Brazil
