Traffic Assistant (24-months fixed term)

We are seeking a Traffic Assistant who will be responsible for supporting the logistics and execution of commodity shipments, ensuring smooth interaction between suppliers, buyers, shipping agents, customs authorities, and internal departments as per the instructions from the Head Office in Switzerland.  The role involves managing documentation, tracking shipments, solving operational hurdles and ensuring timely delivery of commodities while complying with all regulations and contractual terms.

The main tasks and responsibilities include.

  • Plan and coordinate commodity shipments for efficient fulfilment.
  • Liaise with suppliers, freight forwarders, customs agents, and internal teams.
  • Coordinate with the Head Office and relay information to counterparties.

  • Support in preparing and finalizing laytime calculations for breakbulk shipments and ensure accurate processing of payables and receivables by the Traffic team.
  • Prepare, review, and manage shipping documents, including Bills of Lading, invoices, packing lists, certificates, and customs paperwork.
  • Ensure accuracy and compliance with trade regulations and company policies in collaborate with legal and compliance teams on regulatory requirements from Head Office.
  • Act as a central point of contact for suppliers, customers, transport providers, and warehouses.
  • Support the traffic team on invoicing, payments, and letters of credit.
  • Prepare, assess, and support finalisation agreements according to headquarters' direction while being the main representative for contract/administration-related inquiries.
  • Maintain accurate records of transactions, shipments, and communications.
  • Generate reports on shipment performance, costs, and operational issues.

Qualifications and requirements:

  • Bachelor’s degree preferably in Supply Chain Management, Logistics, International Trade, Economics or a related field.
  • Basic knowledge and understanding of international trade, shipping procedures, and logistics, including Incoterms, trade finance (LCs, bank guarantees), and customs regulations is advantageous.
  • Experience with Microsoft Office (Solid grasp of Excel, Word, Outlook) and basic knowledge of logistics / ERP management systems / SAP is advantage.
  • Advanced proficiency in Excel and data analysis tools; experience with Power BI and Python or R is desirable.
